Freelance Executive Assistant / Project Coordinator (Operations & Systems) Location Bilbao, Spain (Primarily remote; potential office-based work in the future) Time Commitment Approximately 10 hours per week (flexible) Engagement Type Freelance / Independent Contractor Overview We are seeking a highly organised and proactive Freelance Executive Assistant / Project Coordinator to support company formation and ongoing operational activities. The role combines executive support, project coordination, and light systems and operations oversight, and requires strong communication skills in both English and Spanish. This position is initially remote, with the possibility of occasional in-person work in Bilbao as operations develop. Key Responsibilities Company Formation & Project Coordination Support company formation and administrative set-up activities in Spain Coordinate tasks across legal, accounting, banking, and other external providers Act as a communication bridge between English- and Spanish-speaking stakeholders Track timelines, dependencies, and deliverables using structured project tools Executive & Administrative Support Schedule and manage meetings in both English and Spanish Prepare agendas, summaries, and follow-up notes in both languages as required Organise and maintain documentation in shared knowledge bases Provide ad-hoc executive and operational support Process, Systems & Operations Use Jira and Confluence to track tasks, document processes, and maintain visibility Support or maintain HubSpot (CRM, contacts, basic workflows) where relevant Monitor processes, identify bottlenecks, and suggest operational improvements Help establish lightweight, repeatable workflows suitable for a growing organisation Requirements Essential Fluent or near-native English and Spanish (spoken and written) Strong organisational and project coordination skills Proven experience working with Jira and Confluence Ability to work independently in a freelance capacity High level of discretion, reliability, and attention to detail Preferred / Nice to Have Experience with HubSpot or similar CRM systems Previous IT or technical environment experience (e.g. software, infrastructure, digital products) Background as an Executive Assistant, Project Coordinator Profile Structured, detail-oriented, and proactive Comfortable working across cultures and with both technical and non-technical stakeholders Able to manage multiple priorities with minimal supervision Based in or near Bilbao, or able to support occasional on-site work if required Start & Duration Start date: Flexible / as soon as available Ongoing freelance engagement, subject to evolving business needs
