Project Overview We are building an AI-powered automation solution for freight brokers, 3PLs, logistics companies, and transportation companies. We are looking for an experienced AI/automation developer to help us design and build an initial MVP that automates repetitive logistics operations involving emails, shipping documents, and Transportation Management Systems (TMS). This is NOT a project to build a new TMS from scratch. The goal is to build an AI automation layer that integrates with a company's existing systems. Initial MVP – AI Load Entry Automation The first workflow we want to build is an AI-powered Load Entry Agent. Example workflow: Customer sends a load tender / shipment request through email. The system monitors a designated inbox and identifies relevant shipment emails. AI extracts shipment information from the email and attached documents. Information may include: Customer Origin Destination Pickup date/time Delivery date/time Equipment type Weight Pallet count Commodity Reference/PO numbers Special instructions The system validates required information. If required information is missing or uncertain, the shipment should be flagged for human review rather than automatically processed. Valid shipment information is sent to the TMS through an API where available. The system records the transaction and provides an audit trail showing what information was extracted and what actions were taken. A human operator should be able to review/approve exceptions. Future Automations This initial project may expand into additional logistics automation modules, including: AI freight quote generation Shipment tracking Automated customer shipment updates Delay/exception detection BOL (Bill of Lading) processing POD (Proof of Delivery) processing Carrier invoice processing Freight invoice auditing Customer service automation Carrier onboarding Email operations automation TMS/WMS/ERP integrations We would prefer to work with someone who can continue developing these modules after a successful MVP. Technical Experience We're Looking For Experience with several of the following is preferred: OpenAI APIs / LLM applications AI agents and structured data extraction Python and/or JavaScript/TypeScript REST APIs and webhooks n8n, Make, or similar workflow automation platforms Microsoft 365/Outlook and/or Gmail integrations PDF/document processing OCR/document extraction PostgreSQL or similar databases Azure/AWS/GCP TMS/WMS/ERP integrations Authentication and API security Docker Experience specifically with logistics, freight brokerage, transportation, supply chain systems, or TMS integrations is a major plus. Important Requirements The system must be designed for reliability and production use. We do NOT want an AI system blindly performing actions when it is uncertain. The solution should include: Confidence/validation rules Human-in-the-loop approval Error handling Logging Audit history Secure credential management API retry/failure handling Ability to review AI-extracted information before submission Architecture should also allow us to support multiple customers in the future. What We Need From You When applying, please answer the following: Have you built AI workflow automation systems used in production? Have you integrated with a TMS, WMS, ERP, CRM, or similar business platform? Which ones? Have you built systems that automatically process incoming emails and attachments? What would you use to extract structured shipment information from emails, PDFs, BOLs, PODs, and other documents? How would you prevent incorrect AI-extracted information from automatically entering the TMS? Would you recommend n8n/Make or a custom Python/TypeScript backend for this project, and why? How would you architect the system so we can eventually support multiple logistics customers? Please provide examples of similar AI automation or integration projects you have built. Initial Deliverables For Phase 1, we expect: Solution architecture Working email intake workflow AI shipment data extraction Attachment/document processing Structured JSON output Data validation Human review/approval process TMS API integration or test/mock integration Logging/error handling Basic administration interface or dashboard Deployment documentation Source code Technical documentation Relationship We are interested in establishing a long-term relationship with the right developer or team. The successful developer may continue working with us to develop additional logistics automation modules and deploy/customize the platform for future clients. Please start your proposal with the words "LOGISTICS AI" so we know you have read the complete project description.

LOGISTICS AI Hello, I checked your project and the main point is to build a reliable AI load-entry layer that reads emails and documents, validates shipment data, and sends only approved records to an existing TMS. In the past I built AI document and data-processing systems using Python, OpenAI, OCR, Pandas, PostgreSQL, and structured JSON extraction. I also developed a client portal with QuickBooks Online transaction integrations, including audit-oriented workflows, which is relevant to this type of business automation. I would start with Outlook or Gmail intake, PDF/OCR processing, and an OpenAI structured-output pipeline for fields such as origin, destination, dates, equipment, weight, and reference numbers. Confidence rules, schema validation, missing-field checks, human approval, retry handling, secure credentials, and an audit log would prevent uncertain data from reaching the TMS. I’d use n8n for visible workflow orchestration where practical, with a Python backend for validation, tenant separation, integrations, and long-term control. For multi-customer support, I’d design tenant-aware PostgreSQL tables, isolated credentials, configurable field mappings, and TMS adapters. Could we have a short discussion about the target TMS API, preferred email provider, and the first document formats to support? Best regards

Hi there, I understand you need an AI automation layer that turns incoming freight emails and shipment documents into validated load entries for an existing TMS, without allowing uncertain AI output to reach production automatically. I’m confident I can build the MVP around structured extraction, human approval, reliable API integration and a complete audit trail, while keeping it ready for future logistics automations. My approach is to first define the shipment schema, validation rules, confidence thresholds and exception states. Then, I’ll build the Python/FastAPI workflow with Outlook/Gmail intake, OpenAI structured extraction, PDF/OCR processing and PostgreSQL for shipment data and audit history. TMS integration will use controlled APIs with authentication, retries and failure handling, while incomplete or uncertain loads go to a human approval queue before submission. Finally, I’ll add logging, secure credential management, a basic admin interface, Docker deployment and end-to-end testing. I’d use n8n for email/event orchestration where useful, while keeping core extraction, validation and TMS logic in Python for reliability and scalability. Which TMS will the MVP integrate with, and does it provide a documented API for load creation? I’m ready to take the MVP from architecture through production validation and build the foundation for your future freight automation modules. Warm Regards, Aneesa.

Load emails are messy in a predictable way. The same shipment shows up in the body, a PDF rate confirmation and a spreadsheet, and they don't always agree. So I'd build around a confidence gate: every field gets a score and a cross-check between sources, and a load only goes to the TMS on its own if every required field validates. Anything else lands in a review queue with the original email next to the extracted values. I'd write it as a custom Python backend (FastAPI) with Postgres rather than n8n. An append-only audit log records each extraction, edit, approval and push. Config (required fields, thresholds, TMS endpoint) is scoped per tenant from day one, so a second customer is a config row, not a rewrite. The push goes to a mock first. I haven't seen your real TMS API, so I'd expect some adapter work once I do. M1: inbox ingestion, attachment parsing, Postgres schema, audit log. $510, 4 days M2: field extraction, validation rules, confidence scoring. $600, 5 days M3: review queue with approve, edit and reject. $500, 5 days M4: admin dashboard, tenant config, mock TMS push with retries. $500, 4 days M5: testing on your real emails, deployment, handover docs. $440, 3 days Total is $2550 over 21 days. For M1, send me 15 to 20 anonymised sample emails with attachments, including a few ugly ones. I'll show you the extraction output against them, so you can confirm the fields before I build the rest.

LOGISTICS AI I can help you build your AI-powered Load Entry Automation MVP for freight brokers and 3PLs. My background includes Python, FastAPI, Django, PostgreSQL, REST APIs, and integrating OpenAI APIs for structured data extraction and AI agents. To handle this workflow, I would set up an email intake system to monitor designated inboxes, extract shipment data from emails and attachments like PDFs using LLMs, and output structured JSON. Crucially, I will implement strict validation rules and confidence thresholds so that uncertain or missing data is flagged for human review rather than blindly hitting the TMS API. I would recommend a custom Python backend for robust error handling, logging, audit history, and multi-tenant support for future customers, paired with React for a review dashboard. I have built complex backend systems, automated workflows, and AI-driven applications deployed on AWS using EC2, RDS, and Linux environments. Let's discuss how we can build this initial MVP and establish a long-term relationship for future logistics modules.

LOGISTICS AI Hello, I'm Denis, a full-stack developer who has built several AI automation systems for production environments, including document processing and business system integrations. I understand your needs: a reliable AI layer between incoming emails and your TMS that extracts shipment data accurately while maintaining human oversight. This eliminates repetitive data entry without replacing operators. I've worked on similar projects involving email intake, PDF extraction, and API integrations. The key challenge in logistics automation is confidence—you can't blindly push uncertain or incomplete data into your TMS. For the MVP, I'd build a Python backend that monitors email inboxes, extracts shipment details using structured prompts and document parsing, validates required fields, and flags exceptions for human review. Confidence scoring on each field determines what needs approval. Valid shipments go to the TMS via API with full audit trails. The architecture uses PostgreSQL to track extraction history and approvals, with a dashboard for operators to review flagged shipments. This scales to multiple customers by isolating their data and credentials. A realistic concern is document variability—shipment formats differ across customers and OCR quality varies. I'd start with clear validation rules and build a feedback loop where operator corrections improve future extractions. I'm ready to start immediately. Let's discuss the details. Thanks, Denis.

LOGISTICS AI Hi, The hardest part here is not extraction, it's keeping bad data out of the TMS. I'd gate every field with confidence scoring, hard validation rules on required fields, and a human review queue for anything uncertain, so nothing posts to the TMS without passing checks or operator approval. We've built AI document and email workflows in production. We built an internal AI business development system that reads source material, extracts structured data, and runs multi-step workflows with logging. BD Automation: internal AI workflow engine, OpenAI and Claude For Phase 1 I'd lean custom Python over n8n, since audit trails, retries, and multi-tenant isolation get painful in no-code once reliability matters. Which TMS APIs are you targeting first, and is the inbox Office 365 or Gmail? Adil

LOGISTICS AI Hello, I went through your project description and understand you need a production-ready AI automation layer that will monitor freight emails, extract shipment data from messages and documents, validate it, route uncertain cases to human review, and safely submit approved loads into an existing TMS. I’ll build the MVP around Python, OpenAI APIs, PostgreSQL, and REST integrations, with n8n used where workflow orchestration will add value. Outlook/Gmail intake will capture emails and attachments, while structured extraction will process PDFs, BOLs, PODs, and supporting documents into validated JSON. I’ll implement confidence thresholds, field-level validation, human approval, idempotency, API retries, error handling, credential security, and a complete audit trail so uncertain AI output will never reach the TMS automatically. The architecture will remain modular and tenant-aware so additional logistics customers and automation modules can be added without rebuilding the foundation. A project blueprint will be shared within 24–48 hours of award. To scope your project clearly, I would like to ask: which TMS will the first MVP integrate with, and does it provide a documented API or sandbox? I’ll build the first workflow as a reliable foundation for the broader logistics automation platform. Best Regards, Imran

LOGISTICS AI Hi, CnEL India can build the initial AI Load Entry Automation MVP with a reliability-first, human-in-the-loop architecture. Our methodology: * Review email workflow, shipment fields, sample tenders/documents and TMS API capabilities. * Build secure Outlook/Gmail email intake for relevant shipment requests and attachments. * Use Python/AI-based extraction to convert emails, PDFs and supported documents into structured shipment JSON. * Apply schema validation, required-field checks and confidence rules before any TMS submission. * Route missing, conflicting or low-confidence information to a human review dashboard. * Submit approved loads through available TMS APIs, or provide a test/mock integration where API access is unavailable. * Maintain transaction IDs, extracted values, approvals, actions, errors and timestamps for a complete audit trail. * Add retries, duplicate protection, API failure handling and secure credential management. * Use PostgreSQL for structured data, review history and future multi-customer separation. * Containerize deployment with Docker and provide configuration/documentation. * Test realistic email, document, extraction, validation and exception scenarios. We recommend a custom Python backend for the core workflow, with n8n where it simplifies reliable integrations and orchestration. We can start with architecture + sample-document validation, then build the MVP incrementally.

LOGISTICS AI Hi, Mateo here from Toronto, I’m a full-stack developer with 8+ years of experience building Python backends, AI/LLM workflows, API integrations, document processing, and production automation systems. Your Load Entry Agent is a strong fit. I’d build the MVP around reliable structured extraction from emails/PDFs, validation rules, confidence thresholds, human approval, and controlled TMS submission rather than allowing uncertain AI output to pass through automatically. I can handle Outlook/Gmail intake, OCR/document parsing, OpenAI/LLM extraction, PostgreSQL, TMS APIs, webhooks, audit logs, retries, secure credentials, Docker, and a review dashboard. I’d favor a Python backend for core business logic, with n8n where it genuinely simplifies workflow orchestration. The architecture can be multi-tenant from the start so additional logistics customers and automation modules can be added cleanly.

LOGISTICS AI Hi, I’d separate AI extraction from TMS submission: the LLM can produce shipment data, but only validated fields that pass defined rules should become eligible for TMS submission. I’d connect Outlook/Gmail to a Python service, normalize emails and attachments, extract text/OCR from PDFs, then use an LLM with a strict JSON schema. I’d validate dates, equipment, weight, locations and references before creating a review record. For incomplete or uncertain loads, extracted values would remain editable in a human approval queue. Approved loads would be sent to the TMS through its REST API, while request IDs, responses, retries and failures are stored in PostgreSQL for the audit trail. I’d keep customer-specific settings separate from the processing engine, including TMS credentials, field mappings and validation rules, so the platform can support multiple customers later. Answers to your Questions: 1. I’d use Python for the core backend and n8n only where it reduces integration work without moving critical logic into workflows. 2. Incorrect extraction would be blocked by schema validation, business rules and human approval. 3. I’d need the target TMS API documentation and sample tender emails/documents to start. Thanks!

LOGISTICS AI Hello, The hidden risk here is not extracting shipment fields, it is preventing one uncertain field from silently creating a costly TMS error. I would design the MVP around confidence thresholds, deterministic validation, human approval, retries, and a complete audit trail. I can shape the Software Architecture for email intake, document/OCR processing, structured JSON extraction, exception review, secure credentials, and TMS API integration. JavaScript services can coordinate workflows, while SQL supports tenant-aware shipment records, validation results, and audit history; a focused Plugin-style administration layer can make review efficient. The design will keep future logistics customers isolated and support expansion into BOL, POD, tracking, and invoicing workflows. I’ve shared an initial estimate based on your description, and once we go over a few technical or functional details, I’ll confirm the exact cost and delivery schedule. I suggest first mapping the target TMS, inbox, document types, and approval rules, then delivering the architecture and working end-to-end MVP in clear increments. Which TMS and email environment should the MVP integrate first, and do they provide sandbox APIs plus representative redacted tenders and attachments? Best regards, Asad Looking forward to your reply so we can finalize the exact plan.

Hello, One of the biggest challenges in automating logistics workflows is ensuring the AI doesn't blindly process uncertain or incomplete data, which could lead to costly errors. Your requirement for human-in-the-loop validation is critical, and I'd focus on building a robust confidence scoring system paired with clear exception handling and audit trails. For the initial MVP, I'd prioritize the email intake and document extraction workflow, using OpenAI APIs for structured data extraction from emails and PDFs, and integrating with n8n for workflow orchestration. I'd also design a secure, modular architecture to support future scalability across multiple customers. I've built production-grade AI automation systems, including email processing and ERP integrations, using Python, TypeScript, and n8n. For preventing incorrect data entry, I'd implement validation rules, confidence thresholds, and mandatory human review for flagged cases. Would you prefer to integrate with an existing TMS API, or should we start with a mock integration for Phase 1?

LOGISTICS AI The risky part here is not extracting shipment data from emails; it is making sure uncertain data never reaches the TMS and every action is reviewable later. I’d build this MVP around a guarded pipeline: inbox intake, document parsing/OCR, structured extraction, confidence scoring + validation rules, then human approval before any TMS writeback when fields are missing or ambiguous. I’ve worked on production automation flows where emails, attachments, APIs, and operator review all had to stay in sync, including audit logging, retries, and exception handling. For this use case, I would normally use Python for the extraction/validation layer and a lightweight workflow layer for orchestration, because pure no-code tends to get brittle once document variability, approval logic, and multi-tenant growth enter the picture. A small dashboard for queue/review can be included in the MVP approach. - Which TMS do you want Phase 1 to target first, or should we plan around a mock connector now? - Are the tenders mostly PDF attachments, email body text, or a mix of both? - Do you already have sample load tenders/BOL-style documents available for testing extraction accuracy?
