I’m organizing a celebration-of-life reception for 450–500 guests on April 11, 2026, from 11 a.m. to 3 p.m. at an outdoor venue in Southern California. I need a seasoned event professional who can take the lead on planning and day-of execution while securing all key rentals. Core needs • Event planning and on-site coordination for the full four-hour reception, including build-out and strike. • Open-sided tents or comparable shade canopies that keep the space airy yet protected. • Sufficient round tables, chairs, and linen to seat the entire guest count comfortably, plus a few extras for food stations and memorabilia displays. • Vendor management for delivery, setup, breakdown, and load-out so the family can focus on guests. I’ll handle the guest list and personal touches; you make sure the infrastructure is seamless, safe, and welcoming.
