# Lead Tracking Foundation Setup (Phase 1) ## Project Overview We need a web analytics / tracking specialist to build a practical lead tracking foundation for a US-based home services company. Our data is fragmented across paid media, CRM, call tracking, landing pages and reporting tools. The goal is not a complex enterprise attribution model. The goal is reliable tracking for daily, weekly and monthly marketing decisions. This is a foundation project. We need a clear, validated and documented setup that can be improved over time. ## Main Objective Set up and document a clean lead tracking structure so we can understand: * Lead volume by day, week and month * Lead source by channel, campaign, landing page and region when available * Whether forms, calls and key lead actions are tracked correctly * Whether Google Ads, Meta, GA4, GHL and CallRail are aligned or where they differ * What tracking limitations remain after setup ## Current Stack The stack includes GA4, GTM, Google Ads, Meta Ads, GoHighLevel / GHL, CallRail, main website, PPC landing page subdomain, lead forms and phone call tracking. Looker Studio may be used later, but dashboard creation is not part of this initial scope. ## Quantified Scope Maximum scope: 1. Up to 1 main website domain reviewed at tracking/account level. The website has around 300 pages, but this project does not include a full page-by-page audit. 2. Up to 1 PPC landing page subdomain reviewed at tracking/account level. 3. Up to 8 landing pages within the PPC subdomain reviewed or tested. 4. Up to 7 priority URLs from the main website reviewed or tested. 5. Up to 25 total priority URLs reviewed or tested across the main website and PPC subdomain. 6. Up to 1 GA4 property. 7. Up to 1 GTM container. 8. Up to 1 Google Ads account. 9. Up to 1 Meta Ads account. 10. Up to 1 GHL account. 11. Up to 1 CallRail account. 12. Up to 10 lead forms reviewed or tested. 13. Up to 10 click-to-call elements reviewed or tested. 14. Up to 20 key events mapped. 15. Up to 10 conversion actions reviewed across Google Ads and GA4. 16. Up to 10 Meta events reviewed. 17. Up to 6 marketing regions or market segments considered. 18. Up to 5 traffic sources included in the UTM framework: Google Ads, Meta Ads, Organic, Email/CRM and Local/GBP. 19. Up to 2 rounds of implementation QA. 20. Up to 1 final documentation file. 21. Up to 1 final handoff call. The main website and PPC subdomain should be treated as separate tracking surfaces. Anything beyond this scope must be quoted and approved separately before execution. ## Budget and Bid Instructions We are collecting bids and do not have a fixed budget listed. Please submit your proposed project fee based on the quantified scope above, including a milestone-based breakdown with price and timeline for each phase. The scope in this brief is the maximum expected scope for the initial project. If any item requires additional work, identify it in your proposal before the project starts. We will prioritize clear proposals with approach, milestones, deliverables, assumptions and exclusions. ## Scope of Work ### 1. Tracking Audit Audit the setup across GA4, GTM, Google Ads, Meta, GHL, CallRail, the main website domain and the PPC landing page subdomain. The audit must check tracking consistency across both environments, including GA4 data collection, GTM installation, UTM persistence, referral handling, lead form events, click-to-call events and conversion attribution. The audit must identify missing events, duplicated events, incorrect conversion actions, broken triggers, inconsistent naming, UTM gaps, attribution gaps and differences between platform-reported leads and CRM/call tracking records. Deliverable: audit document with issues, priority level, impact and recommended fix. ### 2. Lead Event Taxonomy Create a simple lead event structure for the business. Events may include form submission, quote request, contact request, click-to-call, qualified call if available, paid media lead, organic lead, email/CRM lead, local/GBP lead and landing page conversion. Each event should include event name, definition, trigger condition, required parameters, destination platform, conversion status and notes about limitations or dependencies. Deliverable: event taxonomy and lead tracking map. ### 3. UTM Framework Create a UTM naming framework for Google Ads, Meta Ads, Organic, Email/CRM and Local/GBP. The framework must define utm_source, utm_medium, utm_campaign, utm_content, utm_term if needed, naming rules, examples by channel, how UTMs should be captured in GHL when possible and how they support source, campaign, region and landing page reporting. Deliverable: UTM framework with naming rules and examples. ### 4. GTM and GA4 Setup Implement or adjust the approved tracking structure in GTM and GA4. This may include GA4 events, GTM tags, triggers, variables, form tracking, click-to-call tracking, landing page conversion tracking, conversion marking in GA4 and debugging with GTM Preview and GA4 DebugView. Deliverable: implemented and tested GTM/GA4 setup. ### 5. Paid Media Conversion Review Review how lead conversions are sent to Google Ads and Meta. The review should cover primary and secondary Google Ads conversions, GA4 conversions imported into Google Ads if applicable, native Google Ads conversion actions, Meta Pixel events, Meta CAPI status if available, duplicate conversion risks, irrelevant optimization events and conversion consistency across campaigns and landing pages. Deliverable: paid media conversion review with recommendations and implemented fixes where access allows. ### 6. GHL and CallRail Source Tracking Review Review how lead source data is captured in GHL and CallRail. Document which lead source fields exist, whether UTMs are captured, whether landing page and region are captured, whether calls/forms can be matched to campaigns, whether GHL and CallRail data can be compared reliably, what cannot be attributed reliably and recommended improvements. Deliverable: CRM and call tracking source review. ### 7. QA and Validation Run end-to-end testing for the core lead paths. QA should include test form submissions, test click-to-call events, GA4 DebugView validation, GTM Preview validation, Google Ads conversion validation where possible, Meta event validation where possible, GHL lead record validation and CallRail source validation where possible. Deliverable: QA report with test results, screenshots or notes, and remaining known issues. ### 8. Documentation and Handoff Create final documentation so the internal team can understand and maintain the setup. Documentation must include tracking architecture, event taxonomy, UTM framework, GTM setup summary, GA4 conversion summary, paid media conversion summary, GHL/CallRail notes, known limitations, maintenance checklist and next steps. Deliverable: final handoff document and one handoff call. ## Expected Deliverables and Milestones Please organize your proposal around clear phases such as: 1. Tracking audit and issue list 2. Event taxonomy and UTM framework 3. GTM and GA4 implementation 4. Paid media conversion review 5. GHL and CallRail source tracking review 6. QA validation 7. Final documentation and handoff Please include estimated price and timeline for each milestone. ## Success Criteria The project will be considered complete when: * Core lead actions are mapped and documented * GA4 and GTM events are implemented and validated * Form submissions and click-to-call actions are tested * Paid media conversion tracking is reviewed * Duplicate or irrelevant conversion risks are documented * GHL and CallRail attribution gaps are documented * The team can understand lead volume by source/channel where data is available * Remaining limitations are clearly documented * Final documentation is delivered ## Preferred Freelancer Profile We are looking for someone with experience in GA4, GTM, Google Ads conversion tracking, Meta Pixel / CAPI review, CRM lead attribution, CallRail or similar call tracking platforms, UTM governance, lead generation businesses and local/home services. GoHighLevel experience is strongly preferred. ## Proposal Requirements Please include: 1. Similar lead tracking, attribution or analytics setup experience 2. Experience with GA4, GTM, Google Ads, Meta Ads, GHL and/or CallRail 3. Recommended approach 4. Estimated timeline 5. Proposed project fee 6. Milestone breakdown with price per milestone 7. Required access or information 8. Assumptions, limitations or exclusions 9. Items you consider out of scope or requiring an additional quote Please do not submit a generic proposal. We need a clear project plan, not just a list of tools. ## Screening Questions Please answer: 1. Have you worked with lead generation tracking for a service business before? Describe one example. 2. How would you check whether GA4, Google Ads, Meta, GHL and CallRail are counting the same lead correctly? 3. How do you prevent duplicated conversions? 4. How do you structure UTMs across paid media, organic, email/CRM and local campaigns? 5. Do you have GoHighLevel experience? If yes, what tracking work have you done there? 6. What would be your first 3 steps after getting access? 7. What would you consider out of scope for this project? 8. What risks or limitations would you check before implementing anything? 9. How would you document the setup so our internal team can maintain it later?

Interesting project, I will set up your lead tracking foundation across GA4, GTM, Google Ads, Meta, GHL and CallRail so every form, call and lead action ties back to a source you can trust for daily decisions. The part most setups like this get wrong is not the tagging itself, it is the deduplication layer. Platform-reported leads almost always overcount when GA4 conversions, native Google Ads actions and GHL records all fire independently. I will map each lead event once, validate the firing chain per platform, and build a clear event taxonomy with defined trigger conditions so duplicates are caught before they corrupt your optimization signals. I will send you a short update at the end of each working day so nothing stalls. Looking forward to your response. Best regards, Kamran

Hello, Thank you for sharing this detailed lead tracking project. I propose a clear, phased approach aligned with your scope: - Phase 1: Comprehensive audit of GA4, GTM, Google Ads, Meta, GHL, CallRail, and website/subdomain tracking to identify gaps and inconsistencies. - Phase 2: Develop a simple, scalable lead event taxonomy and UTM framework covering all traffic sources and marketing regions. - Phase 3: Implement and test GTM and GA4 event tracking, ensuring form submissions, click-to-call, and conversions are accurately captured. - Phase 4: Review paid media conversions and GHL/CallRail source tracking for alignment and duplication risks. - Phase 5: Conduct thorough QA and deliver clear documentation with a handoff call for your team. Critical extras include two rounds of QA, detailed documentation for maintainability, and explicit identification of any out-of-scope items upfront. Could you clarify if you have existing access to all platforms, and do you prefer milestone payments tied to each phase? Also, are there any specific regional tracking nuances to prioritize? I look forward to discussing how we can build a reliable, transparent lead tracking foundation for your marketing decisions. Best regards.

Hi I will build a reliable lead tracking foundation across GA4, GTM, Google Ads, Meta, GoHighLevel, and CallRail for your main domain and separately for your PPC landing subdomain. First, I will audit both tracking surfaces end to end to identify missing/duplicated events, broken triggers, UTM gaps, and mismatched conversion actions. Then I will implement a clear lead event taxonomy (forms, click to call, calls, landing page conversions, etc.) and an enforced UTM framework across Google Ads, Meta Ads, Organic, Email/CRM, and Local/GBP. Next I will update/verify GTM and GA4 events and conversion actions using GTM Preview and GA4 DebugView, then align paid-media conversion behavior in Google Ads and Meta to reduce duplicate or irrelevant conversions. After that, I will review how GHL and CallRail capture source fields (landing page, region, UTM) and document what can and cannot be attributed reliably. Finally, I will run end to end QA on the priority URLs/forms/click to call elements and deliver a single documented handoff plus a maintenance checklist and known limitations. Best, Justin

Hi, you need a tracking foundation your team can trust for daily marketing decisions, not another attribution setup that looks good on paper but breaks under real lead volume. I've worked on lead generation tracking for service businesses, and the detail separating the main website from the PPC subdomain with capped QA rounds tells me consistency across tracking surfaces matters more than adding new tools, so I would begin with a full audit, reconcile GA4, Google Ads, Meta, GHL and CallRail against real lead paths, eliminate duplicate conversions, standardize UTMs across every channel, and document every limitation before implementation. My proposed fee for this scope is USD 2,800 over 3 weeks with milestones of Audit and Issue List USD 700, Event Taxonomy and UTM Framework USD 400, GTM and GA4 Implementation USD 800, Paid Media and GHL CallRail Review USD 450, and QA Documentation and Handoff USD 450, with anything beyond the defined scope quoted separately after review. Before making any tracking changes, can you confirm whether GHL is the system of record for lead status and whether Google Ads currently optimizes from native conversions, imported GA4 conversions, or both? Olá, Your brief is exactly the kind of tracking foundation project where clarity matters more than overbuilt attribution. You need clean, validated lead tracking across GA4, GTM, Google Ads, Meta, GHL, CallRail, website, and PPC landing pages so daily marketing decisions are based on reliable data. Approach: audit first, map events and UTMs, implement only approved fixes, validate with GTM Preview/GA4 DebugView/platform tools, then document limitations, gaps, and maintenance steps. Screening answers: Yes, we have worked on lead tracking for service businesses involving forms, calls, paid campaigns, CRM source fields, and reporting alignment. To verify lead counts, we compare one test journey across GA4, Ads, Meta, GHL, and CallRail using timestamps, UTMs, landing page, source, and lead identifiers. We prevent duplicates through clear event definitions, trigger controls, conversion status rules, and avoiding multiple platforms counting the same action unintentionally. UTMs should use consistent source/medium/campaign/content rules by channel, region, and landing page. First 3 steps: confirm access, inspect current tracking architecture, then run controlled test leads before changing anything. Out of scope: full 300-page audit, dashboard build, advanced attribution modeling, major CRM rebuilds, and work beyond the listed limits unless quoted separately. Best regards,

As a digital marketing specialist proficient in Google Analytics and Tag Management, I possess the skills you need to expertly set up and document a robust lead tracking system for your home services company. My primary goal is understanding your business's daily, weekly, and monthly lead metrics. I'm equipped to trace lead volumes by channel, campaign, landing page, and region while ensuring form submissions, click-to-call events, and key lead actions are accurately tracked. Combating data fragmentation, I've consistently aligned various platforms like GA4 alongside Google Ads, Meta Ads, GoHighLevel / GHL & CallRail. Post-integration analysis forms a crucial part of my process; to do so efficiently we might later include Looker Studio's dashboard creation capabilities. Though not initially in the project scope, this phase sets the strong foundation on which we can build later. Having reviewed your project scope and aligned it closely with my experience, I am ready to take charge in auditing your present tracking setup across all platforms mentioned. Issues identified would be prioritized considering their impact so that we may devise effective fixes. The final deliverable would be comprehensive documentation ensuring your entire team understands the new setup completely. Choose me to maximize your data efficiency for enhanced marketing decisions!

You need a practical lead-tracking foundation, not a bloated attribution project. I would set up the first phase around trustworthy source/campaign data, clean form/call events, and clear QA so your home-services team can make weekly decisions from numbers they trust. My approach would be to audit GA4/GTM, Google Ads, Meta, GHL, CallRail, the main domain and PPC subdomain, then standardize UTMs, landing-page/referrer capture, lead-form events, call events, and hidden fields into GHL where possible. For this project I would focus on: - GA4/GTM event cleanup for forms, calls, CTAs, landing pages, and campaign source data - GHL/CallRail alignment so leads retain source, region, landing page, and campaign context - QA test leads, validation logs, known limitations, and a concise handover document If helpful, I can start with a tracking matrix showing each lead path, expected fields, test method, and reporting owner. Hi. I have extensive experience in setting up lead tracking foundations for businesses similar to yours and can execute this project with the same level of success. The project is well-defined, but it’s crucial to clarify how you define "reliable tracking" and what specific metrics or insights are most valuable for your marketing decisions. To construct the project cleanly, I will begin with a thorough tracking audit to identify any inconsistencies across platforms, followed by establishing a clear event taxonomy and UTM framework. I will ensure that all tracking points align with your business goals and that documentation is comprehensive for future reference. It's important to set realistic expectations regarding timelines, especially considering the potential for unforeseen complexities during the audit phase. What specific metrics will you prioritize for tracking once the foundation is established? Roman
