What the work looks like • Daily tracking of multiple FCL shipments using carrier portals, terminal websites, and our in-house spreadsheet. • Preparing and emailing the Arrival Notice to customers as soon as the line posts availability. • Gathering commercial docs, coordinating with Customs brokers, and flagging any PGA holds or exam notices. • Scheduling drayage from US and Canadian marine terminals, confirming chassis, and updating customers on ETAs. • Answering and placing phone calls and emails to steamship lines, truckers, warehouses, and receivers. • Maintaining clean, audit-ready documentation in shared cloud folders. Acceptance criteria 1. All milestones in the shipment life-cycle are time-stamped in the tracker within 30 minutes of status change. 2. Arrival Notice reaches the consignee no later than the same business day the freight becomes available. 3. Customs paperwork is complete and uploaded before the container is grounded. 4. Drayage orders are dispatched at least 48 hours before last free day. 5. No information gaps in the file—every call or email must be summarized. Tools we already use: carrier tracking dashboards, Excel/Google Sheets, standard EDI notice formats, Outlook. If you are comfortable with similar systems—or have suggestions that mesh with them—great, just be ready to hit the ground running.
