One of my Clients that he is a Shipping Forwarder needs the folowing: (ONLY EXPERIENCED SCRIPTLANCERS)
A routing instruction form that any employee could fill in, in order to post it to the person concerned and when this person effects the collection of the cargo he flags it, puts in a trailer number and date and voyage number and certain info from that from will automatically go in another database template so when the trailer is full we can print out the cargo that has actually been loaded with all the details.
Obviously there should be another sort of database with the cargo that is pending ( ie: which hasn't been flagged / collected yet )
The form must have the below details :
Date and the employee name.
Pickup instructions : no of pkgs / weight / volume / loading metres
Pickup info : ( text field for them to insert any specific instructions like when time etc etc )
Selling rate: fields should be
( Pickup charges,T2L charges, Freight Charges, Local Charges, NSO, Lifter Chgs, D/O fee, Transport,
Insurance, Other ) with afield to insert the amount next to it. An a total automatically shows.
They save to the pending database and submit via email to 1 person and he receives the instructions and this person should go to the pending database site,
Fill in the following : Date of Collection, by Trailer No: , Driver, ETA malta date , Vessel, and voyage number.
So thereon info highlighted in red goes in a template so that we can print it to know all the shipments that have been loaded, and the charges that we are collecting.
This form can be edited by certain other people only ( example : the accounts dept ) so the can insert our costs at a later stage and automatically the costs will be deducted from the income and you are left with a clear picture of the profit / loss on that voyage.
Now, the most important thing is that the system saves it per voyage number so it will always be different.
Find the sample form on exel with the fields highlighted, and the additions and subtractions / trailer numbers / employee name etc so it will be easier for them to proceed.
