Customer brings in item to me store for repair. Barcode attached to plastic bag containing item and barcode software follows the item through the repair process and contacts the customer when their item is complete though an auto dialer with prerecorded greeting that their item is ready to be picked up, or texts them, or emails them, as they choose when they deliver the item to us for repair.
Software has given me a sheet of barcodes, 2 of each. One for customer, stuck on business card, one to peel off off and stick it onto customers bagged item.
When my customer bring sthe item to me, I scan the bar code with one of 2 scanners attached to either of my 2 computers.
I search for the custoemrs name in the software database, and if not in there, I enter customers Name, address and phone number in computer. There are alos fields for email address and text, yes or no. It has an option for "do you want a text, email, or phone call, when your item is complete" and take the contact information for up to all of those. (someone could want them all) I also add the description of the item being dropped off in a description field. It is attached to this barcode for the repair ticket.
The program uploads to the database the item has been checked in. It also uploads to a page on our existing website, on a password protected program you create, one of 3 statuses: "In process", "Complete", or "Please call us. We need more information."
The on-site repairman has a cordless scanner. When the repair is complete, he scans the barcode.
The software then calls the customer, emails, or texts, them, or any combination of the previous, as they have chosen, with a pre recorded message advising them that thier product is ready to be picked up.
The software keeps a record of how contact was made and when, and this is also shown on the website if the customer logs in to check on their item.
If the costomer does not come in within 10 days, it contacts the customer again. If they do not come in within 30 days from completion, it contacts them again.
The customer can also go our the website and enter their barcode number and zip code as passwords to get the status. The completion date will be in the status along with when and how contact was made to them. "We called you on xx/xx/xx or we sent you an email/text message on xx/xx/xx"
WHen the customer picks up their item, the barcode is scanned and it is uploaded to the systems to be shown as complete. The customer should bring in their barcode when they pick it up but they might not have remembered it in which case this will not be a problem. We can find their item by name on thier bag.
We will be able to generate reports for items in process, complete and not picked up, picked up, customer name, phone number, showing dates for each status. We will track how many piences in process, sorted by dropped off day and time, etc. We will also be able to generate reports for what has been completed for over a month but never picked up by customer.
Included in this project are 2 computer-tethered barcode scanners, the database software that goes on 2 computers, and the repairmans wireless scanner, plus Barcode printing solution and the website page. The winning bidder will provide everything along with 30 days support.
All of this is connected to a wireless network in the same building.
A dedicated phone line (shared with a fax that is rarely used) is available. Or a majicjack phone number can be used.
