I work for UPS as a center manager. I have an idea on how I can create a system that both streamlines information and organizes my and my employees tasks so as to improve communication, ease of access, and ease of input. I have one of the documents almost finished from a template standpoint but I see this being a system of documents that operates as a scheduler, reporting mechanism, communication platform, validation tool, reminder, and a one stop shop for previous day results, employee records, and all information that could be valuable to help do or jobs.
this all started from this set of challenges:
1.) we have 3 or 4 locations in which we are asked to find different information. these items are not always easy to find and the same report is pulled by 8+ people (which takes time). there is also a whole bunch of info included in these reports that are pulled that is unnecessary.
2.) its a challenge to keep 8 supervisors on track and to do the initial communication and delegation and then the required follow up.
3.) we waste more time trying to find information that should be used in fixing the problem. information needs to be easily accessed so as to not create barrier of doing something about the problem. need to eliminate the i dont knows.
From those challenges I had the thought:
1.) if I had easy access to everything in the UPS network, it was constructed in a way that the information was grouped intuitively that would be a huge step.
2.) if there was a place for employees to go and type up an explanation to something going awry and that report was integrated into my daily reports.
3.) want to generate a paste and populate d daily report that one of my part time sups could spend the 30 minutes every morning sourcinv all the different reports that i look at and paste them into an excel spreadsheet that generated a streamlined and in depth report that i could disperse to all my ft supervisors. this would improve communication, general knowledge, and act as a reminder and log for activities that need to take place.
