I’ve fixed similar desktop flows where users get confused between idle/syncing. Main thing I’d do is simplify what’s already there, not redesign. I’ll first map where states switch (usually scattered). Then bring it to one simple handler so behavior is predictable. Add small delay before idle (like 30–45s) to avoid quick flicker. This alone improves feel. Show short reason with state. Example: “Idle – no activity” or “Syncing – 2 files”. Simple but helps. Keep syncing in background thread so UI doesn’t freeze.
